How to use the calculator

Pick one repeatable task, enter how many people do it, how long it takes each of them every week and what an hour of their time costs your business. Estimate the share of that time AI assistance could remove, add the software and setup costs, then press Calculate. Add more workflows one at a time — make sure their hours don't overlap and enter shared costs only once.

What “AI ROI” means here

Return on investment compares the value a change produces with what it costs. For AI adoption the main value is recovered working time, so this calculator converts hours into money using your own labour cost, then subtracts software, implementation and review costs. It does not add speculative revenue, tax effects or discounting.

An illustrative worked example

Five people each spend 4 hours a week on email administration at a loaded cost of $35/hour; you expect 25% of that time to be saved with 80% adoption over 48 working weeks, plus half an hour a week of checking. Gross hours recovered = 5 × 4 × 48 × 0.25 × 0.8 = 192; review hours = 5 × 0.5 × 48 × 0.8 = 96; net = 96 hours ≈ $3,360 of capacity. With $300/month software and $2,500 setup, first-year investment is $6,100 — so this single workflow does not pay back on its own in year one. Adding workflows or raising adoption changes the picture. (Illustrative numbers, not a measured result.)

How to estimate time savings responsibly

Start from what you can observe: time a few real tasks before and after a short pilot, ask the people doing the work, and be conservative. Treat vendor headline figures as upper bounds. Always include the time someone spends checking and correcting AI output — it is the most common reason real savings fall short of estimates.

Capacity value vs. cash savings

Freed time is capacity. It becomes a cash saving only when you spend less — fewer overtime hours, fewer contractors, a hire you don't need to make. Otherwise it is redeployed time, which can be very valuable but doesn't reduce your costs. The “recovered value that becomes cash” input lets you state how much of the freed value you genuinely expect to bank.

How implementation, review time and adoption affect results

Implementation and training are one-time costs that must be recovered from monthly cash benefit — that is the payback period. Review time directly reduces net hours and can make a workflow negative. Adoption scales everything: a tool only half your team uses delivers half the hours.

Frequently asked questions

Is the AI ROI calculator really free?
Yes. There is no signup, payment card or account, and using it consumes no Panzoe credits or AI actions. Like any web page it is hosted and maintained by Panzoe, but it costs you nothing.
Where do my numbers go?
Nowhere. Every calculation runs in your browser with ordinary JavaScript. Inputs and results are not sent to a server, stored in a database, included in analytics or kept after you leave the page.
Does this use AI to produce the estimate?
No. The calculator estimates the return on adopting AI, but the arithmetic itself is deterministic and shown in full under “Show calculations”.
How accurate are the results?
Exactly as accurate as your assumptions. The templates and scenario offsets are illustrative starting points, not Panzoe performance data or industry benchmarks. Use a short pilot to replace guesses with measurements.
Why can the result be negative?
If the extra time spent reviewing AI output exceeds the time saved, the workflow adds labour. The calculator shows that honestly instead of hiding it.
Does Panzoe guarantee these outcomes?
No. Results depend on your business, your people and how the tools are used. This is a planning aid, not a promise.
