Privacy Policy

How we collect, use and protect your information.

1. Overview

Panzoe Technologies ("Panzoe") is a Canadian company serving a global audience, providing an AI-powered subscription platform worldwide. This policy explains what we collect, why, and the rights you have. We design for privacy: your data powers your AI assistants — it is never sold.

2. Information we collect

  • Account information — name, email, password (stored as a salted hash), job title, timezone and workspace details.
  • Connected account data — when you (or a workspace owner/admin) connect Google Workspace or Microsoft 365, Panzoe syncs the content those services return under the permissions you grant: email metadata and message content (Gmail, Outlook), calendar events, contacts, file names and document content (Drive, OneDrive, Word, Excel), and tasks (Google Tasks, Microsoft To Do). If you connect Notion or GitHub, Panzoe syncs the pages, databases, repositories, issues and activity those services return under the access you grant. Important: connected accounts are attached to your workspace — their synced summaries are available to the workspace's AI Brain, and raw mailbox access is limited to workspace owners and admins.
  • AI conversation history — prompts, assistant conversations and the content you add to your pillars (tasks, notes, records, finance entries, goals), so your assistants can maintain context and memory.
  • Panzoe Memory — short, durable facts Panzoe remembers to personalise your experience (for example a project you're working on or a stated preference). Memories can be saved by Panzoe features or extracted automatically from your conversations; automatic extraction deliberately skips sensitive topics such as health, finances and credentials. You can view, search, delete individual memories, clear all memory, or turn memory off entirely in Settings → Privacy & data.
  • Research, documents & creative work — research questions and reports, documents you write, and the prompts and outputs of image, video and voice generation, stored so you can access your work. Research uses public web sources by default; it only draws on your private Panzoe data when you switch "Include my data" on for a given research run.
  • Usage analytics — feature usage, page interactions and performance diagnostics used to improve the product. In-app product analytics are first-party. On our public website we additionally use Google Analytics and Google Ads measurement, which load only if you accept analytics cookies (see our Cookie Policy); IP anonymisation is enabled and these tags are never loaded inside our mobile apps.
  • Push notifications — if you opt in, we store a push subscription for your device so we can deliver the notification categories you enable (such as daily briefings). You can disable push at any time in Settings or your device settings, which deletes the subscription.
  • Device information — browser type, operating system, approximate region and identifiers needed for security and session management.
  • Business enquiries & consulting requests — when you contact us or submit a consultation, discovery-call, booking or proposal request for our AI Solutions consulting services, we collect the details you provide (name, company, email, phone, country, company size, industry, project description, budget, timeline and preferred contact method) to respond to and manage your enquiry.
  • Cookies — see our Cookie Policy for categories and controls.
  • Payment information — handled entirely by Stripe (web) or by Apple and Google (purchases made inside our mobile apps). Panzoe never stores full card numbers; we retain only transaction records (plan, amount, currency, status).
  • Mobile apps — our iOS and Android apps collect the same categories described above. Voice input uses your device microphone only while you actively record, with your permission. We do not collect precise location, contacts from your device, or advertising identifiers.

3. How we use information

  • Provide and personalise the Services, including assistant memory and cross-area intelligence within your workspace. Panzoe's Context Engine may retrieve snippets of your own recent research, documents, conversations, memories and records to make an answer more useful — it only ever searches your own data, never another user's.
  • Run features you request — including background "delegated" jobs (Panzoe Chief of Staff), recurring research monitors and scheduled daily briefings, each of which you can review, pause or cancel.
  • Process subscriptions, billing and refunds through Stripe.
  • Secure the platform — authentication, fraud prevention, audit logging and abuse detection.
  • Improve Panzoe — aggregate analytics, quality evaluation and research. We do not use your private content to train third-party foundation models.
  • Communicate — service messages, receipts, security notices and (with your consent where required) product updates.
  • Respond to business enquiries — evaluate and reply to consultation, booking and proposal requests, prepare proposals, and manage consulting engagements. Information shared in consulting engagements is treated as confidential and used only for that engagement.

4. Third-party processors

We use a small number of vetted processors to run Panzoe: cloud hosting and database infrastructure, Stripe (payments), AI model providers (to generate assistant responses — requests are sent without unnecessary identifiers), and email delivery services. Each processor is bound by contractual data-protection obligations.

Voice features: if you choose to use voice input or spoken responses, your audio is transcribed and speech audio is generated by our AI model provider. Recordings are processed in memory for transcription only, are not stored by Panzoe after transcription, and are never used to train models. Voice features are optional and switched off by default.

5. Data storage & retention

Your data is stored in secured cloud infrastructure with encryption in transit (TLS 1.2+) and at rest. We retain personal data while your account is active and for a limited period afterwards to comply with legal, tax and audit obligations, after which it is deleted or irreversibly anonymised.

Payment transaction records are retained for a minimum of seven years where required by Canadian tax law.

6. Your rights

Subject to applicable law, you may:

  • Access and export your data — use "Download my data" in Settings → Privacy & data for an instant machine-readable copy including your profile, conversations, memories, research, documents, life records and creative work.
  • Correct inaccurate information via Settings or by contacting us.
  • Control Panzoe Memory — view, search, delete individual memories, clear all memory, or turn memory off in Settings → Privacy & data.
  • Delete your account and data — use "Delete account" in Settings, or email privacy@panzoe.ai. Deletion permanently removes your profile, solely-owned workspaces, connected-account tokens, synced content, conversations, memories, research, documents, life records, creative work and analytics identifiers — see /legal/data-rights for exactly what is removed.
  • Object to or restrict certain processing, and withdraw consent where processing is based on consent.
  • Lodge a complaint with your data-protection authority.

7. PIPEDA (Canada)

As a Canadian company, Panzoe complies with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy law, including British Columbia's PIPA. We follow the ten fair-information principles, obtain meaningful consent, and limit collection to what is necessary for the identified purposes.

8. GDPR (EEA & UK users)

For users in the European Economic Area and the United Kingdom, we process personal data under the legal bases of contract performance, legitimate interests (platform security and improvement) and consent (where applicable). International transfers from the EEA/UK rely on appropriate safeguards such as Standard Contractual Clauses. You may exercise all GDPR rights described in section 6.

9. International considerations

Panzoe operates globally from Canada — a jurisdiction the European Commission recognises as providing adequate protection for personal data under PIPEDA. When we localise infrastructure to additional regions, this policy will be updated with region-specific detail.

10. Children

The Services are not directed at children under 16 and we do not knowingly collect their data. If you believe a child has provided personal information, contact privacy@panzoe.ai and we will delete it.

11. Changes & contact
